The Sales & POS module is the commercial heart of OMBA. It covers everything from ringing up a walk-in customer at a POS terminal to generating formal delivery invoices, processing refunds, diverting product to a different client, tracking regulatory certificates, and configuring time-bound promotions. Whether you run a single outlet or a multi-location network, all sales activity flows through this module and feeds the Sales Dashboard in real time.

Point of sale

Open a sale, build a basket, apply promotions and discounts, collect payment, and close the shift.

Create sales invoices and proforma quotes, process refunds, and manage order modifications.

Sales Dashboard at a glance

The Sales Dashboard auto-refreshes every five minutes and shows:
  • Total Revenue with period-over-period growth indicator
  • Pending Orders count and trend
  • Refunds value and growth direction
  • Margin amount and movement
Below the KPI cards you’ll find charts for revenue by location, item type, and category, plus a trend chart and an Item Performance table you can sort by quantity sold, sales value, average daily revenue, average daily quantity, stock days, or stock balance.
Use the Outlet filter at the top of the dashboard to scope all charts and metrics to a single location.

How the sales documents relate

Customer enquiry

Proforma Invoice ──► confirmed ──► Sales Invoice / Delivery Note

                              ┌────────────┼────────────┐
                              ▼ ▼ ▼
                          Refund Diversion Station Expense
                        (credit note) (re-route) (shift close)
A proforma is a non-binding quote. Once the customer confirms, you convert it to a sales invoice, which also acts as the delivery note. If product needs to be re-directed after invoicing, use Diversion. If goods are returned, use Refund to generate a credit note against the original invoice.

Role and access notes

Promotions can be restricted by user role (Admin, Cashier, Waiter, User) and by outlet location. Only users with the correct role assigned to a promotion will see it applied at the POS.
Compliance certificate expiry dates are colour-coded: green indicates a valid certificate, orange means approaching expiry, and red means the certificate has already expired. Expired certificates do not block sales but should be renewed promptly to meet regulatory requirements.
